Napa & Sonoma Wedding Florals: What to Know Before Booking a Florist

We're based in El Dorado Hills and travel for destination weddings — the Napa Valley, Sonoma County, and Lake Tahoe are our regular long-haul markets. This post is what we tell couples in the first call when they say their wedding is in wine country: the things that change when the venue is two hours from our cooler.

Travel from El Dorado Hills to Napa or Sonoma

Driving time on a Saturday morning runs 2 to 2.5 hours each direction. We leave the studio by 8 a.m. for an afternoon ceremony — flowers stay in conditioned vans the whole way. The travel itself is straightforward; what matters is what happens at the destination.

Travel fees are a real line item. For a single-venue wine-country wedding we typically charge a flat rate for round-trip mileage, vehicle rental if needed, plus per-hour install labour over our local baseline. Heat is the biggest variable

Napa summers run 90–100°F at ceremony time on bad days. Stems that look gorgeous in our 68°F cooler can wilt within hours under direct sun. We push couples away from a handful of stems entirely for July–September wine-country dates: French hydrangea (brutal in dry heat), most peonies (post-bloom collapse), and any open-bowl rose past full bloom.

What does hold: dahlia, garden rose at half-open, lisianthus, zinnia, ranunculus, snapdragon, eucalyptus seed, dried elements. We design for the worst-case temperature and tell couples that any cooler day is a bonus.

Venue hours decide the install

Most Napa and Sonoma venues charge by the hour and have hard cut-offs — typically 4 p.m. start of access, 11 p.m. end of event, midnight strike-out. That window has to absorb the install (3–5 hours for a designed wedding), the ceremony, the reception, and the strike. We negotiate the install start time directly with the venue when needed; some venues open earlier for an additional fee.

• Ask the venue: exact load-in time, vehicle access points, parking constraints, and end-of-night strike requirements (some venues require everything cleared by midnight; others give a morning grace).
• Ask the florist: install hours required for your scope, whether the team can flex if the venue runs late, and what happens if the venue's access window changes within 30 days of the wedding.

Strike and overnight storage

Wine-country venues are too far for our team to drive home after midnight strike. We typically book a hotel for the on-site team for any Napa/Sonoma wedding ending after 10 p.m., and that's a real cost we surface in the proposal. Couples sometimes balk; once we explain that the alternative is a 2 a.m. drive on Highway 12 with two unrested designers, the math works out.

Booking lead time

We accept a small number of wine-country weddings per season. Six months out is standard; nine months is comfortable; under three months is uncertain. Peak wine-country dates (May, late September, early October) book first — most of our 2026 May and October dates were booked by November 2025.

1. 'What's a wine-country budget actually look like for our scope?' Real numbers beat ranges. We can put a rough $X total against a 120-guest, single-venue, full-design Napa wedding before we get past introductions.
2. 'What stems do you avoid for our date?' Tells you the florist is thinking about the day, not just selling you the prettiest catalogue.
3. 'What does your strike look like at midnight?' Tells you whether they've actually done destination work or are guessing.
